Export a list to CSV and choose its columns

You can download a list as a CSV (comma-separated values) file to open in Excel or another spreadsheet. You choose which columns the file has and their order, and enrola remembers your choice for next time. Users, Admins and Team Owners can export.

You can export these lists:

  • Applications (live and archived)
  • Opportunities (live and archived)
  • Employers
  • Contacts
  • Learners

Export a list

  1. Open the list, for example Employers → Employers.

  2. Search or filter it to the records you want. See Search a list and use the filter bar.

  3. If you only want some records, tick them.

  4. Select Export to CSV.

  5. In the window, choose the columns:

    • Untick the columns you don't need. Select all columns ticks or unticks them all.
    • Drag a column by its handle, or use the up and down arrows, to change its place in the file.
  6. Select Export all or Export selected.

Your browser downloads the CSV file.

The export window for Employers, with Select all columns, a ticked list of columns with drag handles and arrows, and the Export all and Export selected buttons.

Export all or Export selected

Button What it exports
Export all Every record that matches your current search and filters, up to 10,000. On Opportunities, only the tab you are on (Live or Archived). On Learners, every learner in your organisation: the search box is not applied.
Export selected Only the records you ticked. The button shows how many, for example Export selected (12).

If you select Export selected without ticking anything, enrola tells you that nothing is selected.

enrola remembers your columns

enrola saves the columns you chose, and their order, when you export. The next time you export the same list, the window starts with your choice. Each person has their own choice for each list.

The export columns are separate from the columns you see on the list (Edit columns). Changing one does not change the other.

What the file contains

  • One row per record, and one column per field you chose, named after the field.
  • Your organisation's custom fields, as well as the built-in ones.
  • The window reminds you: "enrola cannot be held responsible for maintaining the security or confidentiality of any information once it is stored on your system." Keep exported files safe, especially if they hold applicants' personal details.

Good to know

  • Two custom fields with the same label share one column in the export. Give each custom field its own label.
  • To export more than 10,000 records, export in parts, for example filtered by applied date.
  • For what the Learner export holds, and what enrola does not produce, see Export Learner data.
  • Applications can also be downloaded as PDFs. See Act on several Applications at once.
