Export Learner data for your MIS

To get Learner data into your management information system (MIS) or a spreadsheet, export it from the Learners list as a CSV (comma-separated values) file. You choose the columns and their order.

Note. enrola does not produce an Individualised Learner Record (ILR) file. Export the CSV and import it into your MIS.

Export Learners

  1. In the header, select Learners → Learners.
  2. To export only some Learners, tick them in the list first.
  3. Select Export to CSV.
  4. In "Export learners to csv", choose your columns:
    • Untick the columns you don't need. Select all columns ticks or unticks them all, and a count shows how many are ticked.
    • Drag a column by its handle, or use its arrows, to change its place in the file.
  5. Select Export all for every Learner, or Export selected for the ones you ticked.

Your browser downloads a file called learners.csv. enrola remembers your columns for next time.

Which Learners are exported

  • Export all exports every Learner in your organisation. The search box doesn't narrow it. To export some Learners, tick them and use Export selected.
  • If you choose Export selected without ticking any, enrola says "No learners selected".

What the columns cover

The columns match the Learner record's fields, including:

  • personal and contact details, such as Given name, Family name, Birth date, Uln and Ni number;
  • learning difficulties and disabilities, and prior attainment;
  • funding and monitoring entries, and training costs (Training cost tnp1 amount and Training cost tnp2 amount, with their dates);
  • learning delivery, such as Programme type, Funding model, Nas standard, Planned off the job hours, Actual off the job hours, End point assessment organisation, Completion status and Withdrawal reason;
  • employment and employer details, such as Employment status, Employer name, Employer ern and the employer's main contact;
  • assessor details, emergency contacts, course results and qualifications from the Learning Records Service (Lrslearning events).

"Nas" refers to Find an apprenticeship (shown as NAS in enrola), where the apprenticeship standards come from.

Good to know

  • The export window warns: "enrola cannot be held responsible for maintaining the security or confidentiality of any information once it is stored on your system." Store the file safely and delete it when your MIS has the data.
  • To export Applications, Opportunities or Employers instead, see Export a list to CSV and choose its columns.
  • If your organisation uses Pellcomp PiCS, enrola can create the learner there at Ready for enrolment. See Create a learner in Pellcomp PiCS.
