Create a learner in Pellcomp PiCS

If your organisation uses Pellcomp PiCS, enrola can create the learner's record there for you. You do it from the Application, at the moment you mark it Ready for enrolment. You need the User role or above.

Before you start

  • A Team Owner enters your organisation's Pellcomp PICS details in Settings → Integrations: Organisation Uri, Username and Password. Until all three are filled in, the Pellcomp option doesn't appear. See Settings → Integrations: what you can connect.
  • Check the applicant's details on the Application, especially their National Insurance number, telephone and mobile.

Create the learner in PiCS

  1. Open the Application.
  2. In the Summary panel, choose Ready for enrolment in the status dropdown.
  3. In the Ready for enrolment window, under Pellcomp PiCS, tick Send to pellcomp.
  4. Select Save.

When PiCS accepts the learner, enrola shows a message that the Pellcomp PiCS record has been created. The rest of Ready for enrolment happens as usual. See Use Ready for enrolment and the enrolment form.

The Ready for enrolment window with the Pellcomp PiCS section and its tick box.

What enrola checks first

PiCS needs some details in a set format. If the Application doesn't meet them, ticking the box shows what is wrong and hides Save:

Message What to do
"NI Numbers must have exactly 9 characters." Correct the National Insurance number. Spaces don't count.
"The Telephone field can either be empty or must have exactly 11 digits." Correct or clear the telephone number.
"The Mobile field must have exactly 11 digits." Correct the mobile number. PiCS needs one.

To fix them, untick the box, select Cancel, correct the Application and start again.

What enrola sends to PiCS

  • First name, last name and date of birth
  • National Insurance number, sex and ethnicity
  • Unique Learner Number (ULN)
  • Email address, telephone and mobile
  • Address, district, town, county and postcode. PiCS takes the first 50 characters of the address line.
  • Whether the applicant has a driving licence
  • Their answers about GCSE English and Maths
  • Their learning difficulty and disability categories, and the primary one
  • Their emergency contact, as next of kin

Good to know

  • enrola sends the details once, when you save. Later changes in enrola aren't sent to PiCS, so make them in PiCS too.
  • If PiCS doesn't accept the learner, no success message shows. Check PiCS before you try again, so you don't create the learner twice.
  • PiCS isn't available from a Learner record. Do it at Ready for enrolment, then create the Learner record in enrola if you use one. See Turn an Application into a Learner record.
  • For other systems, export Learner data to CSV. See Export Learner data for your MIS.
