Filter lists by your own custom fields
If your organisation has added its own fields, for example "Preferred start month" on Applications or "Account manager" on Employers, an Admin can offer them as filters. Everyone can then use them from the Filters button, like the built-in filters.
Admins and Team Owners switch custom field filters on. Everyone can use them.
Switch a custom field filter on
- Go to Settings → Search filters.
- Find the list: Applications, Opportunities, Employers or Contacts.
- Under Custom fields, switch on the fields you want to filter by. Each field shows its type, such as Dropdown or Date.
- Select Save changes.
The fields now appear under Add a filter on that list, for everyone in your organisation.
If the section says "No custom fields on applications can be used as filters yet", the list has no custom fields of a type that can be filtered. Admins add custom fields in Settings → Form fields. See Add your own fields and panels.
Which fields can be filters
| Field type | How the filter works |
|---|---|
| Dropdown, Radio buttons, Multi-select | Choose one or more of the field's options. A record matches if it has any of them. |
| Tickbox | Choose Ticked or Not ticked. |
| Date | Fill in From, To or both. |
| Text, Long text, Rich text | Type one or more words. A record matches if the field contains all of them. |
Other types, such as file uploads, can't be used as filters.
Use a custom field filter
- On the list, select Filters.
- Under Add a filter, select the field's name.
- Choose or type the value.
- Select Apply filters.
The chip above the list shows the field's name and the value, like any other filter. You can save the search for later. See Save a search and share it with your team.
Good to know
- Custom field filters are set for your whole organisation, list by list.
- Switching a custom field filter off removes it from Add a filter. Saved searches that use it stop filtering by that field.
- Learners have no custom fields, so the Learners list has no custom field filters.
- You can also hide built-in filters that your team doesn't use. See Choose which filters each list offers.
