Choose what the application PDF shows
Staff can download an Application as a PDF, for example to print it or to keep a copy. Admins and Team Owners choose which details are included by default, in Settings → Application forms.
Set the defaults
- Go to Settings → Application forms.
- Scroll down to Default application PDF fields.
- Tick the details you want included by default, and untick the rest. Each change saves straight away.
| Option | What it adds to the PDF |
|---|---|
| Applicant name | The applicant's full name. |
| Personal details | Address, mobile, telephone, email address and gender. |
| Initial assessment scores | Course results, assessment date, attendance, interview score and initial assessment interview notes. |
| Notes | The text in the Application's Notes box. |
| Your own fields, under Additional information | The answers to fields your organisation has added to Applications. |
The defaults apply to everyone in your organisation.
What the PDF always shows
Whatever you tick, the PDF includes the Opportunity's title and the applicant's transport, work experience and qualifications sections.
Export one Application to PDF
- Open the Application and select Export PDF.
- The Export application to PDF window shows your organisation's defaults already ticked. Change them for this PDF if you need to.
- Select Export to PDF.
Under Additional information, the window only lists your own fields that the applicant has answered. It says "Note: Additional information fields not filled by applicant are hidden".

To change the defaults for everyone, use Settings → Application forms.
To export several Applications at once, tick them in the Applications list and choose Export to PDF. See Act on several Applications at once.
Tip. To send an applicant's details to an employer, share an applicant profile instead of a PDF. Profiles let you hide the applicant's name and contact details. See Share an applicant profile with an employer.
