Share an applicant profile with an employer
An applicant profile is a tidy web page about one applicant, made for employers. You email the employer a link to it, and they can read it, download it as a PDF and send you feedback. They don't need to sign in. You need the User role or above.
Before you start
- The Application's Opportunity needs an Employer with a default Contact who has an email address. Without one, the Share profile button doesn't show. See Contacts: add, label and manage employer contacts.
- What the profile shows is set for your organisation by an Admin. See Choose what applicant profiles show.
Share a profile
- Open the Application and select Profile at the top. You can also select Profile on the applicant's row in the Applications list. The profile opens in a new tab.
- Select Share profile.
- The Share applicant profile window opens. Check the recipient: it starts as the default Contact's email address, and you can change it to any address.
- Check the subject. It starts as "Applicant Profile - let us know what you think".
- Under Include in shared profile, untick anything the recipient shouldn't see. All three are ticked to start with.
- Edit the message if you like. Keep the Applicant Profile link in it.
- Select Send.
enrola shows "Email was sent".

The include options
| Option | When unticked |
|---|---|
| Include applicant name | The profile is headed "Applicant profile" instead of the applicant's name, and name fields are left out. |
| Include personal details | Details such as date of birth, National Insurance number, gender, ethnicity, nationality and residency are left out. |
| Include contact details | Email address, telephone, mobile and address are left out. |
The options only take things away. They can't show a field that Settings → Applicant profiles doesn't include.
Your choices are built into the link, so the employer can't undo them by changing the web address.
What the employer sees
The employer opens a page headed "Applicant profile", with your logo. It shows the fields your Admin chose, less anything you unticked. It has a Download PDF button, and a Send feedback button when the Application has a Supervisor. The PDF shows exactly what the page shows.
The profile and the email don't name the vacancy or its Employer, so you can share the same applicant with more than one employer.

What changes in enrola
If the Application has a Supervisor, its status moves to your workflow's Profile sent status. The entry for that change in Application Logs links to a copy of the email you sent.
Good to know
- The link stops working after 30 days. See Why has a shared profile link stopped working?
- The profile shows the applicant's details as they are when the employer opens it, not as they were when you sent it.
- When you open the profile while signed in, it shows everything your Admin chose, so you can check it before sharing.
- If you remove the Applicant Profile link from the message, the employer gets no link. enrola swaps that link for the secure one as it sends.
- To send several profiles to one employer, see Send several applicant profiles at once.
