What enrola does and the names it uses

enrola is a recruitment system for UK training providers and colleges. It follows each vacancy from the first conversation with an employer, through advertising and applications, to the new learner's record. This article explains the records enrola uses and how they connect.

The journey through enrola

  1. An employer has a vacancy. You record the employer as an Employer, with their Contacts, and create an Opportunity for the vacancy.
  2. You advertise it. Posting Control on the Opportunity posts it to the job boards you choose, such as Find an apprenticeship (shown as NAS in enrola). It also appears on your enrola job board and your own website.
  3. People apply. Each applicant fills in your application form, and enrola creates an Application.
  4. You assess applicants. Your team moves each Application through your workflow statuses, checks the applicant's record with the Learning Records Service (LRS), books interviews and shares applicant profiles with the employer.
  5. The applicant is ready for enrolment. You mark the Application Ready for enrolment and create a Learner record from it.

Opportunity types

Every organisation starts with three Opportunity types:

  • Apprenticeship, for apprenticeship vacancies with an employer
  • Quick Register, a short form for people to register their interest
  • Full cost course, for courses other than apprenticeships

Each type has its own application form and its own workflow of statuses. Admins can rename them and add more. See Opportunity types: Apprenticeship, Quick Register, Full cost course.

Words enrola uses

  • applicant: the person who applies. enrola says applicant, not candidate.
  • status: the step an Application has reached in your workflow, such as Application Review or Interview.
  • Supervisor: the member of your team an Application or Opportunity is assigned to.
  • panel: a box of related fields on a record, such as Personal information. You can show, hide and reorder panels.

What enrola doesn't do

enrola covers recruitment up to enrolment. It does not produce an Individualised Learner Record (ILR) file. You can export Learner data to CSV (comma-separated values) for your own systems. See Export Learner data.
