Why does an applicant appear once on each page?

Applicants often apply for several Opportunities. To keep the live Applications list readable, enrola shows each applicant once a page. Their other Applications on that page fold under their first row, and a count shows how many Applications they have made to your organisation.

An applicant with three Applications: the first row shows

What you see

Beside the applicant's name on their first row:

  • N more on this page opens and closes their other rows on this page. The extra rows sit under the first, slightly indented.
  • N applications opens the applicant's application history. It counts every Application they have made to your organisation, including archived ones and ones on other pages.

Each row is still its own Application, with its own status, Supervisor and tick box.

Open an applicant's history

  1. Select N applications beside the applicant's name.
  2. A window called "Name application history" opens. It lists their Applications, newest first, with Opportunity Title, Applied, Applicant Status and Assigned Supervisor.
  3. Select View to open one of them. The row marked This application is the one you started from.

An archived Application shows Archived as its status, with the Opportunity it was for.

The same list is in the Application history panel on each Application record.

How enrola decides that Applications are the same person

enrola treats two Applications as the same applicant when either of these is true:

  • They have the same Unique Learner Number (ULN).
  • They have the same email address and the same name, and at least one of them has no ULN. This catches applicants the Learning Records Service (LRS) has not matched yet.

When enrola compares them:

  • Email addresses are compared ignoring capitals and spaces before or after the address.
  • Names are compared ignoring capitals and extra spaces.
  • Two different ULNs always mean two different people.
  • Siblings who applied with a parent's email address stay separate, because their names differ.
  • Matches chain together. If an applicant changes their email address but keeps the same ULN, enrola joins the Applications under both addresses.

enrola only looks at Applications to your own organisation. Applications the same person made to another training provider or college are never counted or shown.

When the list does not fold rows

  • The Applicant Name column is hidden. Grouping only happens while that column shows. See Use the live and archived Applications lists to change columns.
  • The other Applications are on a different page. Rows fold only within the page you are looking at. The N applications count still includes them.
  • You are on the archived list. The archived list shows every row on its own. An ID card icon beside a name, where it shows, opens the same history.

Good to know

  • To act on all of an applicant's rows, open the group with N more on this page and tick each row. Select all at the top of the list selects every row, folded or not.
  • Grouping changes only how the list looks. It doesn't merge, close or change any Application.
  • Ready for enrolment uses a similar check when it closes an applicant's other Applications. See Use Ready for enrolment and the enrolment form.
