What do the coloured LRS labels mean?
When your organisation is connected to the Learning Records Service (LRS), enrola looks up every new applicant. It finds their Unique Learner Number (ULN) and past qualifications, and shows the result as a coloured label in the Applications list.
To connect your organisation, see Connect the Learning Records Service (LRS).
What enrola does with each new Application
Shortly after an Application arrives, enrola searches the LRS using the applicant's name, date of birth, gender and postcode. It needs at least a first name, a last name and a gender; without them the result is No match.
- An exact match. enrola saves the ULN and updates the applicant's name, date of birth, gender and address from the LRS record. It then looks up their qualifications and adds them to the Qualifications panel.
- A possible match. The details are close but not the same. enrola keeps the LRS record for you to check. See Deal with a potential LRS match.
- No match. The LRS found nobody with those details.
The LRS labels
Add the LRS column to the Applications list with Edit columns. Each label shows the letters LRS with a colour and an icon. Hover over it to read what it means.
| Label | Means | What to do |
|---|---|---|
| Green, with a tick: LRS match | The LRS found the applicant, or you accepted a possible match. The ULN is saved. | Nothing. Check the qualifications. |
| Yellow, with a question mark: Potential match | The LRS found a likely record that needs checking. | Select the label to open the comparison. |
| Red, with a cross: No match | The LRS found nobody with these details. | Check the applicant's details, then look up again. |
| Grey, with a dash: No response | The LRS gave another answer, for example an error. | Look up again later. |
| No label | Not looked up yet, the lookup is still running, or you rejected a possible match. | Wait, or look up again. |

Filter by LRS status
Add the LRS status filter to the list, and choose LRS match, Potential match, No match, No response or No status. LRS match includes possible matches you accepted.
You can also filter by the qualifications themselves, with the Qualification, Subject and Grade filters. See Search a list and use the filter bar.
Look up again in bulk
- Filter the list by LRS status: No match, No response or No status.
- Select the Applications.
- Open With selected... and select LRS lookup.
- Select Yes in "Are you sure you want to lookup these records?"
Their labels clear while enrola looks them up, then show the new result. Update the applicant's details first if they were wrong, or the result will be the same.
The Qualifications panel
Qualifications from the LRS appear in the Application's Qualifications panel, with a small LRS badge on each row. Each row shows Subject, Level, Grade, Date Achieved and Status. Select the + at the start of a row for more, such as Qualification, Provider and Awarding Body. enrola keeps only qualifications that have a grade and a date achieved.
You can add a qualification yourself with Add learning event, or remove a row with the cross at its end.

Good to know
- The LRS may not hold every qualification a person has. Treat an empty or short list as one source alongside the application.
- An exact match replaces the name, date of birth, gender and address the applicant gave with the versions on their LRS record.
- From the qualifications, enrola also checks for Level 2 English and Maths. See Check Level 2 English and Maths (Beta).
