Add a note to an Application
The Notes panel on an Application keeps a dated record of notes from your team. You need the User role or above to add a note. Anyone who can open the Application can read them.

What is in the Notes panel
From top to bottom:
- The notes timeline. Each note shows who wrote it and when, newest first. If there are none yet, it says "No notes have been added."
- The Notes box. A single text box that saves as you type, like other fields on the record.
- Your organisation's own fields, if an Admin has added any to this panel.
If you can't see the panel, add it with Edit page layout. See Show, hide and reorder panels on a record.
Add a note
- Open the Application.
- In the Notes panel, select Add note.
- In the "Add note for name" window, type your note in Note. You can use bold, lists and links.
- Select Save note.
The window closes and enrola shows "Note added." Your note appears at the top of the timeline with your name and the date and time, such as "15 Oct 2026, 14:05".
Important. Notes on the timeline cannot be edited or deleted once saved. Check your note before you select Save note.
The timeline or the Notes box?
Use the timeline for anything you want dated and signed, such as a call with the applicant or a decision. The timeline keeps every note.
The Notes box holds one piece of text. Anyone who edits it replaces what was there, and it records no name or date. It suits a short summary you keep up to date.
Your own fields in the Notes panel
Admins can add fields to the Notes panel, such as a dropdown or a date. They do this in Settings → Form fields, on the Applications tab, under Notes. See Add your own fields and panels.
Why a note appears twice
Older Applications may show the same text twice: once in the Notes box and once as the first timeline entry, labelled Imported legacy note.
This is expected. Before the timeline existed, notes were kept only in the Notes box. enrola copied each Notes box into the timeline as its first entry, so the history is complete. Nothing was lost, and you can leave both.
Good to know
- Timeline notes never appear on applicant profiles. The Notes box does if an Admin ticks Notes in Settings → Applicant profiles, so keep internal comments on the timeline. See Choose what applicant profiles show.
- Read Only users see the timeline but not the Add note button.
- Notes stay with the Application. They are not copied to a Learner record. See Turn an Application into a Learner record.
