Coming soon: bulk delete with a safety check

Coming soon. This feature is planned and not yet in enrola. What you see when it arrives may differ from this description. We will update this article when it is released.

Today only the enrola team can delete records in bulk, 99 at a time, behind a box that just asks "Are you sure?". Admins and Team Owners will be able to delete many records at once themselves, after a check that shows exactly what will go.

What will change

Bulk delete for Admins and Team Owners

Admins and Team Owners will be able to tick records on a list and delete them together with With selected... → Delete selected. Users and Read Only users will not be able to.

A clear check before anything is deleted

Choosing Delete selected will open a window that says:

how many records will be deleted, and of what kind, for example "Delete 1,240 applications?";
what goes with them, for example an employer's contacts and activities;
what stays, for example Learners already created from those Applications;
the first few names, and that your selection may include records from other pages or earlier searches.

You will have to confirm on purpose before anything is deleted, and the delete button will repeat the number of records.

Records that other data depends on are kept

enrola will not delete a record that other records still depend on, such as an Employer that still has Opportunities. It will tell you which records it left and why, so you can deal with them first.

Progress and a summary

You will see the progress of a large deletion on the list, and a summary at the end of how many records were deleted and which were left.

Smaller delete changes on the way

These changes are ready and waiting to be released:

Delete selected will only show to people who can use it. Today it shows to everyone but works only for the enrola team.
The delete box will say what it is about to delete, for example "Delete employer Acme Logistics?", instead of "Are you sure?".
After a bulk delete, enrola will say how many records were deleted and, if any are still selected because of the 99 limit, how many are left.
Only Admins, Team Owners and the enrola team will be able to delete an Employer. Today any User can, which also deletes the employer's contacts and their activities.
When you delete a contact who has open activities, the activities will move to the contact you choose, without emailing anyone.
The Delete option in the Learners list's With selected... menu, which does nothing today, will be removed.

What stays the same

Deleting one record at a time works as it does today.
Deleted records cannot be restored from your own screens. If you delete something by mistake, contact support at support@enrola.co.uk straight away.

What you might need to do

Nothing. If you have a clean-up waiting, such as test records or old campaigns, you will be able to do it yourself once this arrives.
