Use the interview calendar

Each Opportunity has an interview calendar. It holds the times you are free to interview for that Opportunity (availability slots) and the interviews booked into them. You see the same calendar in two places:

  • on the Opportunity, in the Interview Availability panel, where you add and change slots;
  • on each of its Applications, in the Book Interview panel, where you book the applicant into a slot.

For the full booking steps, see Set interview availability and book interviews.

The Interview Availability panel on an Opportunity: a month view with slots at 9:30am, 11am and 2pm on several days, the Add availability slot button, and the key with Free, Pending, Rejected and Accepted.

Find your way around the calendar

  • The calendar shows a month at a time. Use the arrows to move back and forward, and Today to come back to the current month.
  • Weeks start on Monday.
  • Hover over a booked interview to see the Interviewer and the Applicant. A tick, question mark or cross beside each name shows whether they have accepted, not answered yet, or declined.

Tell free slots from booked interviews

The key under the calendar lists four states:

Key Meaning
Free An availability slot with nobody booked.
Pending An interview is booked, and the interviewer or the applicant hasn't answered yet.
Rejected The interviewer or the applicant declined.
Accepted The interviewer and the applicant both accepted.

At present every slot on the calendar is shown in your organisation's colour, whatever its state, so the colours in the key don't appear on the slots. To check a slot, hover over it: a booked interview shows the Interviewer and the Applicant, and a free slot shows nothing.

Add availability slots

  1. On the Opportunity's Interview Availability panel, select + Add availability slot. (On an Application's Book Interview panel the button reads +Add Availability Slot.)
  2. Choose the Event Length: 30 minutes, 1 hour, 90 minutes or Custom. For Custom, type the length in hours in Custom Event Length.
  3. Choose the Time & date of the first slot and the Time & date of the last slot.
  4. Select Save.

enrola fills the time between the two with back-to-back slots of that length.

Warning. The slots run straight through from the first time to the last, including overnight. To offer 9am to 5pm on three days, add each day separately, or you will get slots through the night as well.

Change or delete a slot

On the Opportunity's Interview Availability panel, select a free slot to change its times or delete it. Slots with an interview booked can't be changed there: open the interview from the Application instead.

Book an interview from an Application

On the Application's Book Interview panel, select a free slot to book the applicant into it, or a booked one to see, cancel or postpone that interview. Booking opens the Send Email Interview Request window, where you choose the interviewer and check the email before you select Save and send. See Set interview availability and book interviews.

The Send Email Interview Request window, with Interview Type, Date and time, Interviewer, Title, the email text with merge tags, and the Save and send button.

The Application must be assigned to someone before you can add slots or book from its Book Interview panel. Archived Applications show "This content is not available for archived application".

Good to know

  • Times are UK time.
  • The calendar is only in enrola. It doesn't add interviews to Outlook or Google Calendar, and it doesn't send calendar invitations. See Coming soon: Google and Microsoft mail and calendar.
  • Read Only users can see the calendar but can't add slots or book interviews.
  • Several applicants can be booked into the same slot.
  • The interview emails, with their Accept and Reject buttons, are written in your interview statuses. See Write the email a status sends.
