Set interview availability and book interviews

Interviews in enrola use slots: times you set aside on an Opportunity. You book an applicant into a free slot, choose the interviewer and send them an invitation. You need the User role or above.

Add availability slots

You add slots on the Opportunity, and they are shared by all its applicants.

  1. Open the Opportunity and go to the Interview Availability panel.
  2. Select + Add availability slot.
  3. In Event Length, choose 30 minutes, 1 hour, 90 minutes or Custom. For Custom, enter the length in hours.
  4. Set Time & date of the first slot and Time & date of the last slot.
  5. Select Save.

enrola fills the time between the two with back-to-back slots of that length. If that makes more than five, it asks "Are you sure you want to create N interview slots?" before you save.

Tip. Slots run continuously, overnight included. To offer 9am to 5pm on several days, add each day separately.

To change or delete a free slot, select it in the Interview Availability calendar. You can also add slots from an Application's Book Interview panel with +Add Availability Slot.

Book an interview

The Application needs a Supervisor. Then either:

  • Choose an interview status in the status dropdown, such as External Interview (Employer). This records the step and opens the booking window.
  • Select a free slot in the Application's Book Interview panel. This books the interview without changing the status.

In the Send Email Interview Request window:

  1. Interview Type: the interview status to use. Changing it loads that status's title and message.
  2. Date and time: choose a free slot.
  3. Interviewer: for an external interview, a Contact of the Opportunity's Employer; for an internal interview, one of your users. Their email address fills in below, and you can change it.
  4. Title and the message: edit them if you need to. Select a merge tag in the Legend to add it.
  5. Select Save and send.

If you opened the window by choosing a status and close it without saving, the status goes back to what it was.

Who gets which email

  1. The interviewer gets your message with Accept and Reject buttons. This happens when Notify Interviewer about scheduled interview is ticked in Settings → Notifications. If it isn't, enrola treats the interviewer as having accepted and goes straight to step 2.
  2. When the interviewer accepts, the applicant gets the same message with Accept and Reject.
  3. When the applicant accepts, the interviewer and the Supervisor get "Interview on date has been accepted".
  4. If the interviewer or the applicant rejects, the Supervisor gets an email saying the interview has been cancelled.

After choosing, people see "Thank you, your choice has been submitted". Replies to these emails go to the Supervisor.

Merge tags for the slot

Because the interviewer and the applicant get the same message, write it for both. Recipient tags fill in for whoever receives it.

Tag Fills in
[@interviewslot_datetime@] The slot's date and time
[@interviewslot_date_from@] and [@interviewslot_time_from@] The start date and time
[@interviewslot_date_to@] and [@interviewslot_time_to@] The end date and time
[@interviewer_first_name@], [@interviewer_last_name@], [@interviewer_email@] The interviewer
[@recipient_first_name@], [@recipient_last_name@], [@recipient_email@] The person receiving the email

The Legend also lists the Application, Opportunity and Employer tags. See Merge tags you can use in emails.

See where things stand

In the calendars, each slot is coloured: Free, pending, rejected or accepted. Hover over a booked slot to see the interviewer's and the applicant's answers.

Cancel or postpone an interview

  1. Select the booked slot in the Book Interview calendar. The "Interview at date" window opens.
  2. Select Delete interview and send emails.
  3. Choose Interview Cancelled email, Employer postponed email or Candidate postponed email.
  4. Select Yes.

enrola emails the applicant and the interviewer, removes the booking and frees the slot. To rearrange, book a new slot.
