Connect the Learning Records Service (LRS)
The Learning Records Service (LRS) holds each learner's Unique Learner Number (ULN) and their record of regulated qualifications. When your organisation connects its LRS account, enrola looks up every new applicant automatically. Only Team Owners can add the details.
What you need
Your organisation's details for the LRS:
- Organisation reference
- Username
- Password
- UKPRN, your UK Provider Reference Number
These come from your organisation's LRS account, not from enrola.
Add your LRS details
- Open Settings → Integrations.
- In the LRS credentials panel, fill in Organisation reference, Username, Password and UKPRN.
- Click outside each field. enrola shows All changes saved.
The password shows as dots. Select the eye button beside it to check what you typed.

What happens next
From now on, enrola looks up each new Application in the LRS shortly after it arrives:
- an exact match records the applicant's ULN, and enrola then fetches their qualifications;
- a possible match waits for your staff to check it;
- each Application shows a coloured LRS label with the result.
See LRS lookups: what the coloured LRS labels mean and Deal with a potential LRS match.
Check the Applications you already have
Applications that arrived before you connected aren't looked up on their own. To check them:
- In the LRS credentials panel, select Lookup LRS database.
enrola queues a lookup for every Application that hasn't been looked up yet, about ten a minute, so a large number can take a while. It then opens Settings → Organisation details; the lookups carry on in the background. The button is hidden while a lookup like this is already waiting to run.
The LRS certificate
LRS lookups also need a certificate from the Department for Education. The enrola team looks after it for every organisation, so there's nothing for you to install. If lookups stop working for everyone at once, contact support at support@enrola.co.uk.
Troubleshooting
| What you see | What to check |
|---|---|
| New Applications don't get an LRS label | Check that all four fields in LRS credentials are filled in and correct. |
| Lookups fail after you change your LRS password | Update Password in LRS credentials. |
| You can't see Lookup LRS database | A lookup of your existing Applications is already waiting, or the LRS details are missing. |
Good to know
- An empty or short LRS record doesn't prove that someone has no qualifications. Treat LRS results as one source alongside the application.
- Staff can also run lookups from the Applications list. See LRS lookups.
