Move Employers and Contacts through workflow statuses

Workflow statuses show where each employer, and each contact, is in your engagement process, for example "First call", "Proposal sent" or "Signed up". Employers and Contacts have a workflow each, shared by your whole organisation. Admins and Team Owners set up the statuses; Users and above can change a record's status.

Set up the statuses (Admins)

Settings, Employer workflows, with the Employer workflows and Employer contact workflows panels and their Add buttons.

  1. Go to Settings → Employer workflows. The page has two panels: Employer workflows and Employer contact workflows.
  2. In the panel you want, select Add.
  3. Type a Name.
  4. Choose the Type:
    • Activity: the status only records where the employer or contact is.
    • Email: the status also sends an email. Fill in the Subject and Template.
  5. Select Save.

Drag statuses up or down to change their order. Use Edit to rename a status or change its email, and Delete to remove it. Records that already have a deleted status keep it until someone changes it.

In an email template, click a tag in the Legend to add details such as the employer's name. See Merge tags in employer emails and requests.

Change one Employer's status

  1. Open the Employer record.
  2. In Employer Details, choose the new Status.

If it is an Email status, a Send Email window opens:

  1. Choose the Recipient from the employer's contacts.
  2. Check the Title (the subject) and the Template, and change them for this email if you need to.
  3. Select Send.

If you close the window or select Cancel without sending, the status goes back to what it was.

Change one Contact's status

  1. Open the Contact record.
  2. In Contact details, choose the new Status.

To give a contact an Email status, use the Contacts list instead (see below), so that the email is sent.

Note. Choosing an Email status on a contact's own record may show an error instead of the Send Email window. The Contacts list sends these emails without that problem.

Change the status of several records

  1. Go to Employers → Employers or Employers → Contacts.
  2. Tick the records.
  3. Open With selected... and choose the status.
  4. enrola asks you to confirm: "You are about to change the status of" followed by the number of records. For an Email status it adds "are you sure you want to send emails?"
  5. Select Save.

For an Email status, enrola sends the saved template as it is, without letting you edit it:

  • On the Employers list, each email goes to the employer's main contact. Employers without a main contact change status but get no email.
  • On the Contacts list, each email goes to the contact.

Important. On the Contacts list, Select all selects every contact in your organisation, even when you have searched or filtered the list. Tick contacts one by one before you choose an Email status.

Find records by status

  • On the Employers list, add the Status column with Edit columns.
  • The Contacts list has a Status column.
  • On either list, use Filters → Workflow status. See Search a list and use the filter bar.
