Set up Opportunity types and their application emails

Each Opportunity has a type. The type decides which application form applicants fill in, which workflow statuses their Applications move through, and the email they get when they apply. Admins and Team Owners manage types in Settings → Opportunity types.

Every organisation starts with Apprenticeship, Quick Register and Full cost course. For what each is for, see Opportunity types explained.

Settings → Opportunity types listing Apprenticeship, Quick Register and Full cost course, with Edit beside each and an Add button.

Add a type

  1. Go to Settings → Opportunity types and select Add.
  2. Enter a Name, such as "Traineeship" or "Evening courses".
  3. Choose what to start from in Duplicate from:
    • Leave it on Select Opportunity Type to start fresh. The new type works like Apprenticeship and gets the standard set of workflow statuses.
    • Choose an existing type to copy its workflow statuses, its application form and the form's layout. The new type works like the type you copied, for example like Quick Register.
  4. Select Save.

The new type appears straight away wherever staff choose a type, such as when they add an Opportunity and in the type list above the Applications list.

Rename a type

  1. Select the type's name, or Edit beside it.
  2. Change the Name and select Save.

The new name appears everywhere straight away, including on existing Opportunities. Renaming doesn't change how the type works.

Delete a type

Team Owners see Delete beside a type when it can be deleted:

  • no Opportunity uses it, and
  • it works like Apprenticeship. Types that work like Quick Register or Full cost course can't be deleted.

Select Delete and confirm. If Opportunities use the type, enrola says "There are some opportunities assigned for this type".

The email applicants get when they apply

When someone applies, enrola emails them straight away. Each type has its own version of this email, called Auto application email.

  1. Go to Settings → Applicant workflows.
  2. Select Edit beside the type.
  3. Beside Auto application email, select Edit.
  4. Change the Title (the email's subject) and the Template (its text). The Legend lists the merge tags you can use, such as [@application_first_name@] and [@opportunity_heading@]. See Merge tags you can use in emails.
  5. Select Save.

The next applicant for an Opportunity of that type gets the new email. If an applicant replies to it, the reply goes to your organisation's Team Owners.

Note. The window for this email is titled "Edit Application Status", although you are editing the application email.

To also email the member of your team that a new Application is assigned to, switch on New Application in Settings → Notifications. See Choose which notification emails enrola sends.
