Send several applicant profiles at once
Send Profiles emails a shortlist to an employer: one email, with a link to each applicant's profile. It goes to the default Contact of the Opportunity's Employer. You need the User role or above.
Before you start
- The Opportunity needs an Employer with a default Contact who has an email address. See Contacts: add, label and manage employer contacts.
- Select only Applications for that one Opportunity.
Send the profiles
- Go to Applications → Live.
- Choose the Opportunity type, then the Opportunity. Send Profiles stays greyed out until you choose an Opportunity.
- If anything is already selected, select Deselect all.
- Tick the applicants whose profiles you want to send.
- Open With selected... and select Send Profiles.
- The window shows Recipient: the default Contact's email address. You can't change it here.
- Check the subject. It starts as "Applicant Profile - let us know what you think".
- Under Include in shared profile, untick anything the employer shouldn't see. All three are ticked to start with, and your choices apply to every profile in the email.
- Check the message. It greets the Contact by name and lists one link for each applicant. Keep the links in.
- Select Send.
enrola shows "Email was sent", returns you to the list and clears your selection.

What the options hide
| Option | When unticked |
|---|---|
| Include applicant name | Each profile is headed "Applicant profile", and name fields are left out. The links in the message don't contain names either. |
| Include personal details | Details such as date of birth, National Insurance number, gender, ethnicity, nationality and residency are left out. |
| Include contact details | Email address, telephone, mobile and address are left out. |
What changes in enrola
Each selected Application with a Supervisor moves to your workflow's Profile sent status. Its Application Logs entry links to a copy of the email.
If you need a different recipient
Bulk sending always goes to the Opportunity Employer's default Contact. To send to someone else, share each profile on its own: on the profile, Share profile lets you change the recipient. See Share an applicant profile with an employer.
Good to know
- The links stop working after 30 days. See Why has a shared profile link stopped working?
- The profiles and the email don't name the vacancy or its Employer.
- The employer can send feedback on each profile separately. See How do employers give feedback on a profile?
- If the Employer has no default Contact with an email address, enrola can't send the profiles. Add one and try again.
