Ask an employer for vacancy details with Request more info

Employers often hold the details a vacancy needs, such as hours, dates and what the job involves. Request more info emails the employer a form for the fields you choose. When they reply, you decide which answers to copy into the Opportunity. Users, Admins and Team Owners can send requests.

Choosing fields on the Request more info page and opening the email to the employer.

Before you start

The Opportunity needs:

  • an Employer in the Summary panel;
  • at least one Supervisor;
  • an employer with a default contact. enrola sends the form to that contact's email address.

Request more info is grey until the Opportunity has an employer and a Supervisor. If the employer has no default contact, enrola shows Employers Default Contact not selected. Select Set default contact to open the employer's record and choose one. See Contacts: add, label and manage employer contacts.

Send the request

  1. Open the Opportunity and select Request more info at the top.
  2. On Request more info - choose fields, tick each field you want the employer to fill in. Each field shows its current value in brackets, or "Empty".
  3. To change how a field appears to the employer, select Edit field:
    • turn on Required field? if the employer must answer it;
    • type a Custom label for user to replace the field's name on their form.
  4. Select Send email to user.
  5. In Send Request more info email, check the Subject and the message. The message already contains the link to the form. The Legend lists the merge tags you can add.
  6. Select Save to send the email.

The employer's default contact receives the email with a link to the form.

While you wait

The Opportunity shows "Requested info not submitted yet". You can carry on editing the Opportunity in the meantime. Request more info is hidden while a request is open, so you can send only one at a time.

Merge the employer's answers

When the employer submits the form, the notice changes to "Requested info not merged yet".

  1. Select Merge requested info.
  2. The page shows User submitted data beside Current opportunity data, one field at a time.
  3. For each answer you want to keep, select Merge. The employer's answer replaces the current value. Select Reset to undo it.
  4. Select Save merged opportunity.

enrola shows "Opportunity merged" and returns you to the Opportunity. Fields you didn't merge stay as they were.

Good to know

  • After the employer submits the form, they see a thank-you message. Opening the link again shows the same message, so they can't change their answers.
  • Answers are not copied into the Opportunity until you merge them, so nothing reaches a job board without your review.
  • Check the merged fields against each job board's rules before you post. See Post an Opportunity with Posting Control.

Note. A clearer version of this feature, with an advert-style form for employers, is planned. See Send employers an advert-style vacancy form (coming soon).
